This notice explains how the MakanCloud website and Mika AI support handle information you choose to provide.

Mika AI support

Mika answers from reviewed product and how-to guides only. It does not read merchant orders, inventory, employee, scheduling, or other business records.

Before a message is stored or sent to a model, common email addresses, phone numbers, and long account or card numbers are replaced automatically. You should still avoid sending passwords, card details, identity documents, payment data, or other sensitive information.

Redacted raw conversations are retained for up to 30 days for conversation continuity, support improvement, and sampled quality review, then removed by an automated job. Aggregated usage, cost, model-performance, and quality metrics may be kept longer and are not linked to a user account.

Mika calls controlled models through OpenRouter with zero-data-retention and provider data-collection restrictions. The model service still processes the redacted message temporarily to generate a reply.

Human-support handoff

Only after you tick the consent box and submit will we email your name, email address, optional phone number, note, and redacted transcript to [email protected].

Contact details from the handoff form are not written to the AI conversation database. The email service and support team receive them to handle your request.

Account context and security

When you are signed in, the server uses your role and tenant identifier to filter applicable help content; the client cannot elevate its own role. AI conversation tables do not store a user identifier.

To limit abuse, network and session details are transformed into a one-way HMAC fingerprint. Raw IP addresses are not saved in the AI rate-limit table.
